Weekly club meetings

Club meetings give members an opportunity to enjoy fellowship and provide them with the information and motivation they need to increase their participation in activities that serve the club, the community, and the world.

Weekly meetings should feature interesting programs that enhance members' Rotary knowledge, reinforce the value of continued membership, and increase awareness of local and global issues.
The club administration committee is responsible for developing weekly programs under the direction of the club president. To plan effective meetings

  • Develop an agenda for each meeting (Download the Weekly Meeting Sample Agenda ).
  • Schedule programs in advance.
  • Relate programs to members' interests, current club projects and activities, and community concerns.
  • Rotate the responsibility of arranging programs among committee members.
  • Observe special dates, weeks, and months.
  • Prepare contingency plans, such as having members speak about their Rotary experience or showing a segment of the Rotary Video Magazine , in case scheduled programs are canceled.

In general, the club president presides over all weekly meetings. Club secretaries may be responsible for the logistics of these meetings, such as:

  • Distributing and collecting members' name badges
  • Providing special badges for visiting Rotarians and guests
  • Recording attendance
  • Providing visiting Rotarians with documentation of their attendance
  • Paying for meals, if applicable
  • Assisting with arrangements for outside speakers
  • Preparing announcements
  • Planning topics for programs
  • Scheduling guest speakers                                                          

Club assemblies

A club assembly is a meeting that all members attend to discuss club programs and activities. Most clubs hold four to six assemblies per year. Assemblies allow members to

  • Brainstorm ideas for projects and activities
  • Set goals and develop action plans using the Club Leadership Plan
  • Coordinate committee activities
  • Review the club's strengths, opportunities, and weaknesses
  • Learn more about Rotary and its programs

The club administration committee is responsible for planning the agenda for assemblies under the direction of the club president, and may want to consult a suggested timeline and list of purposes .
For assemblies that focus on strategic planning or continuing education, consider involving the club trainer.

Before planning assemblies, seek input from members to ensure the meetings address their interests and concerns. Ask questions such as:

  • What would you change about our weekly meetings?
  • What are the most important factors in retaining current members?
  • How can our club recruit new members?
  • What changes would increase your participation in club service projects?
  • What are the reasons you do or do not contribute to The Rotary Foundation?

Club board meetings

Board meetings should be held at least once a month. The club's board of directors is the governing body of the club and is responsible for all committee and club decisions. Its members are typically the president, vice president(s), president-elect (or president-nominee, if no successor has been elected), secretary, treasurer, immediate past president, and additional directors, as specified in the club's bylaws.

The club president presides over board meetings, with assistance from the secretary. The president-elect may call meetings of the incoming board to prepare for the next year.
Club board meetings generally include:

  • Call to order
  • Review/approval of previous meeting minutes
  • Consideration of items before the board
  • Review of the club's progress toward goals
  • Reports from committee chairs
  • Review of membership proposals
  • Review of financial report from the club treasurer
  • Adjournment
