Stewardship and reporting
The Trustees of The Rotary Foundation recognize that the funds received from Rotarians around the world are voluntary contributions reflecting hard work and dedicated support. As stewards of these funds, they stress the importance of stewardship, or proper fiscal management, in any activities associated with Foundation programs. An essential component of stewardship is the preparation and submission of timely and accurate grant reports.
Reporting requirements
The Trustees require that reports be submitted to the Foundation every 12 months for the life of the grant and within two months of the project’s completion. Download report forms.
Clubs with overdue reports for current grants are ineligible to receive future grants. Any club that hasn’t reported on use of funds within 21 months of their release or that has submitted an unacceptable progress report will have its name posted on the RI Web site.
Overdue Grant Reporting List
The clubs on the Overdue Grant Reporting List have not fulfilled their reporting requirements for at least 21 months and have been identified as partners whose reliability can’t be verified.
This list is updated each quarter. To have their names removed from the list, sponsors must submit all outstanding progress or final reports in an acceptable form. Club and district leaders may contact Humanitarian Grants Program staff (PDF) for a list of their overdue grant reports. Once the Foundation receives and reviews the reports, the sponsor’s name will be removed from the list the next time the list is updated.
World Reporting
World Reporting is the initiative launched in April 2006 to ensure that grant reporting by clubs and districts does not fall below 70 percent. A World Reporting analysis is compiled twice a year tracking each district’s reporting percentage for Humanitarian Grant projects. Any district with an overall reporting compliance below 70 percent for two consecutive grant reporting analyses may be suspended from participating in Humanitarian Programs. The twice yearly analyses are compiled approximately one month before the October and April Trustee meetings.
The April 2008 World Reporting analysis identified 190 districts that had reached 100 percent reporting compliance. These districts are commended for their achievement and encouraged to maintain their status as role models for good stewards of TRF funds. Click here for the full list of districts.
At their April 2008 meeting, the Trustees decided to make a one-time exception to this policy and suspend districts that were below 70 percent reporting compliance for three consecutive analyses. Effective 1 June 2008, the following districts are suspended from participating in Humanitarian Grants: 1170, 2490, 3160, 3260, 4390 and 5750. Suspension will be lifted when the district reaches 90 percent reporting compliance and all district-sponsored grants are compliant.
